It's no secret that company records - whether in physical or digital form – often contain information that makes them at risk for criminal activity. That's why organizations invest in extensive data security solutions and many list the protection of their sensitive information as the most crucial component of their business. While many have examined the dangers or keeping digital information on-site, there are just as many risks involving the storage of physical files.
Every organization needs to maintain some level of transparency. Public sector organizations have an obligation to share information with taxpayers, just as private companies must be open with stakeholders. To ensure that information is available, companies should invest in a records management solution.
Off-site record storage companies offer a great benefit to businesses that have an excess of inactive or semi-active documents in the office that, although not needed daily, must be retained for specific periods of time. Before sending these records to a facility for storage, businesses should organize them efficiently. Organizing, classifying and sorting documents are important tasks in the preparation of documents for off-site storage.
For years, experts have been talking about the paper-free business. Evolving technologies have spurred innovative storage and sharing systems that allow us to upload and process data through a bevy of devices. However, while there may be a day in which all business records are processed digitally, it will not be today, according to a new report.
In today's competitive market, it's essential for companies to optimize every component of their business. This includes operational efficiency that maximizes every square foot of office space. Businesses can be weighed down by clutter, which typically derives from having an excess of paper records. While many regulations require record retention for upward of five to 10 years, it may be best to partner with a commercial document storage center.
